Terms & Conditions
Coaching programme. I, Martine Garabette, offer bespoke coaching packages to best suit your needs, usually run on a single-session basis or as support over the course of 3- or 6-months. Programmes can also be tailored to best suit your requirements. The 3-month programme consists of 4 x 90-minute one-on-one coaching sessions and the 6-month programmes consists of 6 x 90-minute one-on-one coaching sessions. You may choose to accelerate the timelines within your programme and complete the number of coaching hours sooner – it is your choice to do so, and I will support this, with prior agreement. If the number of coaching hours/sessions is reached sooner than the 3- or 6-month programme intends, the programme is deemed complete. Your expectations, goals, duration and timings for the coaching programme will be discussed at an initial orientation call and revisited at regular intervals throughout the programme. Each session is up to 90 minutes, unless by prior agreement. The fee is based on a virtual session (over Microsoft Teams). Face-to-face sessions are welcome and will incur an additional charge for travel expenses (mileage costs), with travel time to be discussed on a case-by-case basis. During the sessions I will (re)clarify the aim of each session, within the remit of the broader goal(s) set for the coaching programme. It is your responsibility to come to the sessions prepared to explore questions or scenarios to achieve your intended outcome. If appropriate, you will be invited you to deepen your thinking by using techniques and tools common in coaching practice.
Billing and payment terms. Unless otherwise agreed in writing by the parties, all amounts due under this agreement shall be invoiced in full upfront prior to the first session commencing. Invoices will be payable on receipt.
Cancellation. If you wish to change the time of your session, you must do so with at least 24-hours’ notice. Cancellations on the day of a session are liable for full charge for that session. If I need to change the time of your session, I will endeavour to give you at least 24-hours’ notice and rearrange your session for a mutually convenient time. Unavoidable last-minute cancellations due to illness or unforeseen circumstances (for either party) will be re-scheduled for a mutually convenient time.
Termination. If you wish to terminate your coaching programme agreement, you are required to provide written notification directly to me at least one week (five business days) prior to any booked coaching session(s).
Refund policy. Refunds are not offered for sessions missed without cancellation according to the terms above, or for completed sessions. If you arrive late for your session(s) with or without prior notice you will not be refunded pro rata for the time you miss, nor will that time be added to the end of the session or to another session unless I as your coach specifically offer that opportunity (at my discretion). If you have paid for support over 3- or 6-months and have reached your intended goals before the end of the allocated number of coaching hours, you are not eligible for a refund (new goals can be set for the remaining sessions). You are not able to transfer sessions to another person.
Limited liability. Except as expressly provided in this coaching contract, I make no guarantees, representations or warranties of any kind or nature, express or implied with respect to the coaching services negotiated, agreed upon and rendered. In no event shall I be liable to the client for any indirect, consequential or special damages. I hold Professional Indemnity, Public Liability and Medical Malpractice insurance (to £2,000,000).
Confidentiality. I agree not to disclose any information pertaining to you as the client without your written consent. As your coach, there is an obligation to disclose information to a third party (nominated or otherwise) if I am made aware of any illegal or criminal activities during our conversations. I will also act in your best interests if I believe there is a safeguarding issue to address – there are some situations that, as a coach, I am not qualified or equipped to deal with. I will raise this with you at the time and ask you to seek your own additional support. If I believe you are at risk of serious harm (or risk of harm to others) I may recommend that you seek advice from or referral to a relevant professional. I will not disclose your name (personal or business) as a reference without your prior consent.
Supervision. Supervision within the coaching profession is an important element to support continuing professional development and good, ethical practice. This process evaluates and critically assesses our work as coaches – ultimately to maximise the results for our clients. Supervision is based on a non-identifiable discussion: Client confidentialities are not broken; rather scenarios are discussed. I engage in coaching supervision on two levels: (1) Peer-to-peer supervision – when coaches engage in a formalised discussion to review cases with the benefit of gaining different perspectives and drawing on the known expertise of coaching colleagues. Discussion topics typically focus on best practice and ethical issues, such as safeguarding, conflicts of interest, and personal and professional boundaries. (2) Supervisor-led sessions, in a closed group or on a 1:1 basis, we use anonymised cases to reflect on our own coaching practice approximately every three months, to ensure continuous learning and development and to best serve our clients.
Data protection. As your coach I take very few notes during our sessions; I want to provide you with my complete attention. After the session, I will write up the key discussion topics and I have a reflective journal where I document my own feelings towards the session and the progress being made by you. The onus is on you to take responsibility for any action or development plans because of our sessions. Indeed, I recommend that you hold 15 minutes in your diary after each coaching session for self-reflection or to capture relevant action points. I hold some information in notebooks written by hand or on file, which serve as a guide to what we plan to cover in subsequent sessions, or items we agreed to revisit later. You can request information that I hold at any time by emailing me directly, and I can provide you with copies of any written notes or electronic copies of data on file. I do not record our sessions. If I would like to record the sessions for training or development purposes, I will ask in advance and request you sign a consent form granting your permission for me to do so. The recording will then be held on the device on which it has been recorded (on a phone, tablet or laptop) for a period of 12 months, after which it will be deleted. You are invited to record the session, however, for your own self-reflection and to revisit what was discussed. We hold your name, company name and contact details on file, and you will be listed as a client in my database. I am a registered member of the Information Commissioner’s Office (ICO), as part of the GDPR/data protection Act 2018.
Copyright. Periodically I may suggest the use of a coaching tool or technique during our coaching conversations or recommend relevant reading to support your programme. Unless explicitly communicated to you, intellectual property and copyright remains with the originators and publishers of the tools and publications. You must take care if you subsequently use these materials within your organization to ensure all necessary copyright permissions have been sought. If I provide you with a version of a tool adapted for use during our conversations, I will reference the source of that data.
Feedback and complaints. I encourage open and honest dialogue and hope that any feedback will be communicated in a timely manner to inform ongoing coaching programmes. I am a member of two coaching bodies – the EMCC (European Mentoring and Coaching Council) and ICF (International Coaching Federation) – and I adhere to the ICF code of ethics to provide a safe and professional space for your coaching conversations. If you have any reason for complaint, please be advised to put it in writing to me and I will ensure the issue is addressed through supervision and the relevant coaching bodies as appropriate.
Professional certification. I have many years of experience in business and have earned a Professional Certificate in Executive Coaching from the Henley Business School, University of Reading, in 2024, and achieved EMCC Practitioner level accreditation in March 2025 and ICC ACC (Associate Certified Coach) level accreditation in April 2025. Prior to commencing any Executive Coaching with me, you will be required to sign and return a copy of these Terms & Conditions. They will be sent to you before your first coaching session.
